Manager, A/V Production

The Audio Visual Production Department of Saskatoon Prairieland Park Corporation currently requires a full-time Manager. Reporting to the Director, Client Services, the Manager, A/V Production builds a strong customer service-oriented audio visual team through the day-to-day management of the department. The work schedule will vary week to week depending upon the events schedule and additional hours may be required. Day, evening, and weekend shifts will be required.

Duties & Responsibilities:

  • Identify Corporate AV needs, research and recommend appropriate equipment, purchase and/or rent equipment, and coordinate installation of equipment
  • Organize and maintain compliance, license, and warranty information related to A/V equipment and systems
  • Maintain inventory of equipment and related supplies; ensure timely repair and
    maintenance of equipment
  • In collaboration with the other Prairieland departments, identify customer A/V requirements, coordinate the sale of corporate audio visual equipment and services, and prepare and follow-up on price quotes and invoicing for clients
  • Develop and manage A/V Production operating and capital budget. Monitor approved budget and authorize expenditures in accordance with corporate policies and procedures
  • Establish A/V equipment and services pricing schedule
  • In collaboration with Prairieland departments, identify IATSE staffing requirements
  • Establish work rules for IATSE staff including: scheduling through IATSE, IATSE timesheet completion and approval, direct and coordinate activities of IATSE staff on site, orient and train, evaluate performance and discipline, and monitor workplace health and safety
  • Lead IATSE contract negotiations
  • In collaboration with the Director, Client Services & Human Resources, facilitate and or participate in resolution of interdepartmental conflicts
  • Develop a strategic and operational plan for the A/V Production Department that reflects a clear understanding of corporate mission, vision and strategic goals as well as trends and innovations associated with the delivery of audio visual services in a large trade and convention center
  • Assist in the development of corporate risk management, disaster preparedness, and emergency management plans related to Prairieland

Qualifications & Requirements:

  • Strong customer service, communication and interpersonal skills; ability to act effectively as part of a team and to lead a team
  • Leading edge knowledge of audio visual equipment and systems as evidenced by several years’ experience in the sale, set up, maintenance, repair and operation of audio visual systems
  • Knowledge of complex video systems
  • Knowledge of sound and lighting production requirements and products for professional touring artists
  • Knowledge of wireless networks
  • Knowledge of personal computer operating systems as it relates to audio visual presentation systems
  • Knowledge of complex media presentation tools and techniques

About the Position 

As the Director, Facilities Management & Operations Services, you will be a key player in shaping the future of our organization. Reporting to the CEO, you will lead a dedicated team and drive excellence in facilities management, operations, and event support ensuring we deliver on our mission to produce, host and facilitate extraordinary events through superior first-rate customer service and facilities.

Key responsibilities:

  • Develop and execute the department business plan and annual budget, ensuring efficient allocation of resources.
  • Recruit, coach, develop, and lead a high-performing team dedicated to delivering exceptional service.
  • Develop and track Key Performance Indicators (KPIs) for the department, ensuring continuous improvement.
  • Drive operational excellence, ensuring the efficient and effective execution of departmental initiatives.
  • Lead and promote a strong safety culture within the organization.
  • Manage the capital budget and planned expenditures for facilities and operations.
  • Develop business cases for on-site development, contributing to the growth and enhancement of our venue.
  • Oversee all on-site projects and new developments.

To prepare for this senior role, you have a business or related degree and 7+ years of experience in all facets of building systems and operations. You are familiar with asset and maintenance management software. Six Sigma or similar training is a definite asset.

Operations Personnel (F/T)

The Operations Department of Saskatoon Prairieland Park Corporation currently requires a full-time Operations Personnel.

Reporting to the Manager of Operations, the purpose of the Operations Personnel position is to provide specific services and support for all Prairieland events and their rental customers. The Operations Personnel are also involved in the overall operations and maintenance of all Prairieland Park facilities, grounds, equipment, and inventory.

To be successful in this role, Operations Personnel bring a positive approach and heightened attention to detail and quality when providing all required services. Efficiency and thoroughness are critical when producing multiple events. Record keeping is required for all services provided and inventory adjustments as needed.

The role is 40 hours per week and the work schedule will vary from week to week depending upon the events schedule. Evening, weekend, and overnight shifts will be required.

Duties:

  • In collaboration with Operations Department Staff, Event Coordinators, and customers,
    temporary installation and/or removal of material required for individual events in
    accordance with event specifications to include staging, carpet, drape, tables, chairs,
    décor material, and other equipment.
  • Materials handling (shipping/ receiving) of tradeshow related materials, sign installation
    and other services in accordance with event specifications.
  • Monitoring of all building mechanical (lighting, temperature, electrical) for maintenance
    of facilities to ensure safety and comfort for all.
  • Communication with co-workers and customers to ensure that all event requirements and
    event changes are completed to the customer’s satisfaction or passed on to the
    appropriate person to be addressed.
  • General maintenance duties as assigned for upkeep of facilities and all property.
  • Outdoor grounds maintenance duties as assigned. (Snow and ice removal, grounds
    sweeping, painting, etc.)
  • Other duties as assigned.

Qualifications/Requirements:

  • Must have a strong desire to provide excellent customer service.
  • Must be a team player with proven ability to communicate pleasantly and effectively with customers, co-workers, and guests.
  • Be well organized and able to establish and set work priorities and meet deadlines.
  • Must have strong attention to detail.
  • Previous experience operating forklifts, bobcats, scissor lifts and tractors is preferred.

Marketing Coordinator (F/T)

Saskatoon Prairieland Park Corporation is seeking a self-motivated, highly organized person to fill the full-time role of Marketing Coordinator.

This dynamic and fast-paced role includes aspects of marketing, advertising, and promotions, and will have the right candidate working in social media, traditional media, web design, content creation, communications, graphic design, and marketing budgets for in-house produced events. A key role of this position will be to update Prairieland Park’s 20+ event websites using WordPress installations and assisting with the ongoing graphic design and social media needs of the corporation.

The role is 35 hours per week with regular work hours between 8:30 a.m. to 4:30p.m. from Monday to Friday. At times there may be a need to work varied hours, including some evenings and weekends, depending on the events taking place at Prairieland.

Key responsibilities include:

  • Working under the direction of the Marketing Manager, collaborate with internal event design teams to create and execute a marketing plan for various events produced annually by Prairieland Park including the Western Canadian Crop Production Show, Blue Cross Gardenscape, Saskatchewan Equine Expo, The Saskatoon EX, and Glow Saskatoon.
  • Design and create content to execute the marketing plans, including videos, print graphics, web graphics, digital graphics, and social media content.
  • Update the content, information, dates, and details and maintain the identity standards on various Prairieland websites.
  • Assist in managing e-mail databases and utilization of these databases for marketing and communications as it relates to the events assigned.
  • Work with traditional media outlets including TV, radio, and billboards to execute elements of the marketing plan.
  • Attend and assist in a marketing capacity where needed at special events.

Skills / Knowledge / Abilities: 

  • • Postsecondary education in Marketing or similar is an asset. A combination of education and experience will be considered.
  • 3-5 years’ experience in marketing and communication.
  • Strong commitment to exceptional customer service.
  • Highly resourceful with strong problem-solving skills.
  • Pays close attention to detail, is conscientious and self-motivated.
  • Knowledge of marketing, including familiarity with advertising and promotional strategies.
  • Knowledge of basic design terminology, layout, and design standards

  • Functional understanding of WordPress applications, as well as experience in Constant Contact, Survey Monkey, and Canva would be an asset, although willing to train the right candidate.
  • Previous experience in the events industry would be an asset.

Signature Events Coordinator (F/T)

The Signature Events Department of Saskatoon Prairieland Park Corporation currently requires a full-time Signature Events Coordinator to join our team.

Reporting to the Manager of Signature Events, the purpose of the Signature Events Coordinator is to assist the Manager in the development, organization, and delivery of events that are produced in-house by Prairieland.

To be successful in this role, effective communication and providing exceptional customer service are critical. The selected candidate will also bring a positive approach and heightened attention to detail with the ability to multitask and manage multiple priorities.

The role is 35 hours per week with regular work hours between 8:30 am. to 4:30 p.m. from Monday to Friday. At times there will be a need to work varied hours, including some evenings and weekends, depending on the events taking place at Prairieland.

Key Responsibilities: 

  • Develop, review, implement, coordinate, and communicate Signature Events programs.
  • Initiate and/or participate in meetings with clients, committees, and internal departments to complete and distribute event Detail Sheets and deliver program excellence.
  • Order required equipment, contracted services, and supplies for events.
  • Provide timely and frequent updates and progress reports to Signature Events Manager and other internal departments as needed.
  • Attending event production meetings according to the signature events schedule.
  • Assist in scheduling casual staff for other Prairieland departments and contractees including: staff schedules, reminders and timesheets for these events.
  • Monitor event set-up to ensure safety regulations, event schedules and client requirements are met.
  • Provide training (where necessary), briefing and scheduling for volunteers, security team and event staff.
  • Liaise with event subcontractors and clients to resolve concerns quickly and effectively.
  • Work the show alongside other team members to provide on-site information to patrons, exhibitors, admission staff and support ticketing at the event.
  • Maintain an ongoing presence on the event floor during setup and event days to monitor overall presentation, temperature, lighting, safety concerns, audio visual and access and communicate with required service departments to resolve concerns.
  • Provide detailed event reports and collation of key event data.
  • Assist in processing event staff payroll as needed.
  • Online ticking system – Work with clients to provide quotes, setup, settlement, and invoicing.

Skills / Knowledge / Abilities: 

  • Postsecondary education in Events Management or similar is an asset. A combination of education and experience will be considered.
  • 3-5 years’ experience in event management/planning
  • SIRS & Service Best training considered an asset.
  • Strong commitment to exceptional customer service.
